At ID Sentry™, we take very seriously our responsibilities to handle information collected from customers and clients, as well as information about people who visit our websites or want more information about our products and services. This privacy notice describes how we collect and use your information on our website and with our document verification services.
Certain ID Sentry personal data collection activities resemble those of consumer reporting agencies, as defined under the federal Fair Credit Reporting Act (“FCRA”) and certain similar state laws and regulations. For this reason, ID Sentry is compliant with the provisions of the FCRA.
For California residents, who are protected under the California Consumer Privacy Act (CCPA), a California Residents Privacy Statement and Notice at Collection section is also included.
What personal information is collected?
ID Sentry uses follows the California CCPA categories for types of personal information that may be collected:
- Personally identifiable information such as name, address, phone number, email address, social security number, driver’s license number, etc.
- Biometric information, such as DNA or fingerprints. Internet or other electronic network activity information, including, but not limited to, photo, video, browsing history, search history, and information regarding a consumer’s interaction with an Internet Web site, application, or advertisement.
- Device information, geolocation data
- Audio, electronic, visual, thermal, olfactory, or similar information.
- Professional or employment-related information.
- Education history, degrees, student loan information
- Public records information
- Inferences drawn from any of the above examples that can create a profile about a consumer reflecting the consumer’s preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, and aptitudes.
We collect contact and related information from you through forms on our website when you contact us, request more information about a service, sign up for our mailing list, or register for our complimentary content, such as articles, white papers, and recorded webinars. The forms request information such as name, address, email address, title, company, and phone number.
When a document is scanned by an ID Sentry customer device for document verification purposes, the following personal data may be collected:
- Name
- Date of Birth
- Height, weight, hair, and eye color
- Document number, effective date, and expiration date
- Photo
- Gender
- Address
- Postal Code/Zip Code
ID Sentry tries to limit the collection of personal information from scanners to only what is necessary to verify the document in question.
When a customer or member of the public accesses the ID Sentry website, or when a customer contacts ID Sentry with a scanning device, ID Sentry may collect usage data, including IP address, device type, and session details. Please see [link to “Usage Data” section below] for more details on usage data.
Where does the personal information come from?
ID Sentry may have collected information about you from these sources:
- From you personally
- From your devices, apps, and browsers
- From financial institutions and credit reporting agencies
- From third-party data providers
- From business customers and partners
- From government agencies and contractors
- From public records
How do we use the personal information we collect?
Some personal information is used to manage our business relationships with customers and the public. Details may be found below.
Law enforcement may obtain access to personal data, but only when an official investigation has formally been launched, and specific information formally requested.
Business uses of personal data
When you conduct a transaction with ID Sentry, as part of a Service, or with a Device, we may collect personal information you give us as defined above. Your Personal Data may be used for the following purposes:
- To provide and maintain our products and services, including to monitor the usage of our products and services.
- To provide customers with the subscription or service they have requested, add them to our mailing list, and/or register them for our presentations.
- To manage customer accounts: to manage your registration as a user of our products and services. The personal data you provide can give you access to different functionalities of our services that are available to you as a registered user.
- To fulfill or satisfy the reasons for which the information was collected.
- For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services you have purchased or of any other contract with us through the Service.
- To contact you: to contact you by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application’s push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.
- To market, present, personalize, and advertise products and services to you
- To conduct testing, research, analysis, algorithm and product development
- To detect security threats or fraudulent activity and prosecution of perpetrators
- To provide you with news, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless you have opted not to receive such information.
- To manage your requests: to attend and manage your requests to us.
Commercial uses of personal data
We may use, trade, or sell personal data to third parties for the following uses:
- Credit reporting
- Marketing programs
- Regulatory and jurisdictional compliance
- Debt collection
- Fraud prevention and detection
- Identity confirmation
Notice of Intent to Collect, Store, Use, and Destroy Biometric Information
ID Sentry may, in products yet to be announced, collect, store, use, maintain, transmit, encode, or otherwise manage and manipulate information about facial features and other biometric information extracted from photos, scans, and other collection devices. This information will be used only when voluntarily consented and provided to ID Sentry by the the person represented in the data or by a legally authorized agent of the person represented. The personal consent for use of this data also authorizes ID Sentry to share or disclose the data or extracts with appropriate affiliated third parties.
Do we share and/or sell personal information to third parties?
Sharing of personal information
ID Sentry may share personal data with third parties in order to conduct the aforementioned business purposes. Personal data collected from mobile devices is not shared with third parties for marketing purposes.
The Company may also disclose personal data in the good faith belief that such action is necessary to:
- Protect and defend the rights or property of the Company
- Prevent or investigate possible wrongdoing in connection with ID Sentry services
- Protect the personal safety of users of ID Sentry services or the public
- Protect against legal liability
We may share personal information in the event of a corporate sale, merger, acquisition, dissolution, or similar event. If such an event takes place, we will notify you by email (if we have your email address) and/or a prominent notice on our applicable website(s) of any change in ownership, as well as any choices you may have regarding your personal information.
Third parties
ID Sentry may use a third-party email marketing platform to manage our mailing list and provide related email services such as upcoming events, webinars, and content. We may use a third-party webinar organizer for our hosted webinars, and when you register for those webinars, you will be registering with that third party, which provides the registration information to ID Sentry.
We use Google Analytics and related services as described above to understand the performance of our website.
Legal requirements to disclose
Sometimes we may be required to share personal information for legal reasons; for example, if we are required to do so by a regulation, court order, subpoena, or other legal process. We may also share information when we believe it is necessary to comply with the law or respond to a government request, or when we believe disclosure is necessary or appropriate to protect ID Sentry, our customers, or others.
How do we provide security for and protect your data?
How information is protected
ID Sentry is committed to protecting the personal information we collect. We use a variety of maximum security technologies and techniques to maintain data integrity and security, including multi-factor authentication and full encryption at rest and in transit. Individual laptops have hard disk encryption, as well as a full suite of endpoint protection. All information is retained according to our retention policy, which may be modified by exception based on contract language.
Information retention
We may retain your account information for as long as your account is active or as needed to provide you services, comply with our legal obligations, resolve disputes, and enforce our agreements. Personal data obtained from customers or their scanners is scrambled cryptographically so that no personal information is recoverable. The encrypted signatures of the personal data may be used for passive pattern recognition and for internal process improvement. This encrypted data is not shared with any third parties.
How do we use cookies, web beacons, and other technology?
Do Not Track response
Our website is not designed to respond to “do not track” requests from browsers.
Information collected automatically online
We, like many other companies, use the Google Analytics tag to provide us with information about our website’s performance. Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our website. This data is shared by Google with other Google services. Google may use the collected information to contextualize and personalize the ads in its own advertising network.

Protecting children’s privacy
Our site is not directed at minors. We do not knowingly collect or seek to collect information about children under the age of 13.
Usage Data
Usage Data may be collected automatically when using the Service. Usage Data may include information such as your Device’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
When you access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browser you use, unique device identifiers and other diagnostic data.
The Company will retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.
We may also collect information that your browser sends whenever you visit our Service or when you access the Service by or through a mobile device. We receive, collect and store information you enter on our website or provide us in any other way. In addition, we may collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and usage history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.
Tracking technologies and cookies
We use Cookies and similar tracking technologies to track the activity on our services and store certain information. Web tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze ID Sentry products and services:
- Cookies or Browser Cookies. A cookie is a small file placed on your device. Unless you have adjusted your browser setting so that it will refuse cookies, our service may use cookies.
- Web Beacons. Certain sections of our service and our emails may contain small electronic files known as web beacons (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit us, for example, to count users who have visited those pages or opened an email and for other related website statistics
- Other local storage. ID Sentry devices and software applications are all capable of local or networked storage
- Cookies can be “Persistent” or “Session” Cookies. Persistent Cookies remain on your personal computer or mobile device when you go offline, while Session Cookies are deleted as soon as you close your web browser.
- Ad networks. Ad Networks may connect information about pages visited on our sites with information about pages visited on other sites
- Tracking insights technology. ID Sentry may utilize software which measures certain attributes of users and visitors, such as correlative, predictive estimates of economic activity based on IP address and browsing history. These and related services may also provide insights into buyer preferences and promotion effectiveness.
What choices and control do you have over your information?
ID Sentry adheres to the spirit of the Federal Fair Credit Reporting Act (FCRA) and the California Consumer Privacy Act (CCPA) even though these acts do not technically apply to most of our activities. We are not a credit reporting agency, and most of our clients are not California residents, nonetheless we do comply with these Acts specifically as they apply to our business. Details about the rights defined in these Acts are listed below.
ID Sentry adheres to the policies of these Acts and affirms the rights defined. Specifically, all customers, patrons, or individuals whose personal information is collected by ID Sentry have the right to Access, Delete, and Opt-Out. Specifically:
Right to Access
- The right to know what information is collected about you, where it came from, and what it is being used for
- The right to know who receives your personal information
- The right to request from any company which may have your personal information to disclose all such information, and who it was shared with
Right to Delete
- The right to require businesses to remove any personal information they have collected about you, unless they must keep the information for legal reasons
Right to Opt-Out
- The right to deny sharing of your personal information with third parties
- The right to opt-out of receiving marketing communications

At any time you may request to view or remove any Personal Data linked to you by following this link: (http://www.idsentry.com/privacyrequest), or by contacting ID Sentry at one of the Contact Us options (link). This request form is also accessible by clicking the Privacy link at the bottom of the ID Sentry website and then clicking Privacy Request.
If you are a California resident, then this policy is consistent with the CCPA [https://www.oag.ca.gov/privacy/ccpa], exercising your “right to know” and your “right to delete”.
We will do our best to respond promptly to your request. Within ten (10) business days of receiving your request, we will:
- Confirm receipt of your request
- Outline the next steps that we will perform to fulfill your request. In rare circumstances, you may be asked to provide additional information so we can ensure that we are properly complying with the Act.
Information provided on the form will only be used to enable ID Sentry to fulfill your request.
Jurisdiction Compliance, including FCRA and CCPA for California residents
Privacy compliance by jurisdiction
We believe ID Sentry is privacy compliant in all US and Canadian jurisdictions. We limit the collection and use of Personal Data to those uses that are legally permitted, and we offer Customers and Personal Data owners the opportunity to review, amend, or remove any and all data on file with ID Sentry.
When validating official documents, no personal data is shared with third parties, only a judgment as to the validity of the data provided to us. The only exception to this is if data is formally requested by law enforcement.

Fair Credit Reporting Act (FCRA)
ID Sentry does not engage in credit reporting, but it is possible that some of our customers may scan personal official documents and employ ID Sentry services as part of credit-related activities. The Fair Credit Reporting Act (FCRA) is designed to protect individuals from credit-related abuse. Here are the main rights protected under FCRA:
- You must be informed if your information is used “against” you to deny credit, etc.
- You are allowed to know what information is being retained about you
- You are allowed to know your credit score (for a fee)
- You are allowed to challenge information in your file which you believe is inaccurate
- Credit reporting agencies must correct inaccurate information about you
- Credit reporting agencies may not retain old information about you (over 7 years)
- Credit reporting agencies may not release your information without a legitimate business need
- Your credit information may not be given to employers without your consent
- You have the right to put a security freeze on your credit report, which prevents credit reporting agencies from sharing information in your file without your permission
California Consumer Privacy Act (CCPA)
CCPA Enumerated Rights
The California Consumer Privacy Act (CCPA) enumerates five “rights” that California citizens share. ID Sentry is not currently required to comply with the act, but we are acting as if we do as far as disclosure and consumer rights are concerned, and we may fall under the jurisdiction of the CCPA in the future.
- The right to know what information is collected about you, where it came from, and what it is being used for
- The right to know who receives your personal information, and the right to deny sharing of your personal information
- The right to request from any company which may have your personal information to disclose all such information, and who it was shared with
- The right to require businesses to remove any personal information they have collected about you, unless they must keep the information for legal reasons
- The right to equal treatment from all businesses regardless of whether you exercised your rights under the CCPA
CCPA on anonymized or “de-identified” data
Under the CCPA, companies are allowed to collect, retain, or sell aggregated data that cannot be associated with a particular person or household. ID Sentry does encrypt scan data received from customers in a way that is not reversible and cannot be linked to specific individuals. This encrypted data is used for feature detection, algorithm development, and service improvement.

- Personally identifiable information such as name, address, phone number, email address, social security number, driver’s license number, etc.

Data used to illegally discriminate
Customers are permitted by law to refuse to provide products or services to any individual for any reason as long they are not discriminating against any of the protected classes including; race or color, national origin or citizenship status, religion or creed, sex, age, disability, pregnancy or genetic information,veteran status, marital status, sexual orientation or gender identity, medical condition or HIV/AIDS status, military or veteran status, political affiliation or activities, status as a victim of domestic violence, and assault or stalking.
No Personal Data which directly links to one of the above protected classes is collected by ID Sentry except gender. Address information may be correlated with protected classes, but no analysis or reporting related to or targeting any protected class is ever performed or provided by ID Sentry for any reason.
ID Sentry specifically prohibits the Customer use of any Service information to be used in any way which leads to discrimination based on any of the protected classes.
If you believe that a Customer used your Personal Data to discriminate based on your status in a protected class, you may start a formal investigation with ID Sentry at http://www.idsentry.com/privacyrequest. All discrimination investigations will be conducted within two weeks and you will be contacted with the results of the investigation. If any Customer is found to be using ID Sentry Services for a discrimination purpose, ID Sentry will immediately suspend all Services to that venue and report the matter to the appropriate law enforcement agency.
