Introduction

At ID Sentry™ (“ID Sentry”, “we”, “us”, “our”), we take our responsibilities very seriously to handle information collected from customers and clients, as well as information about people who visit our websites or who want more information about our products and services.  This privacy notice describes how we collect and use your information on our website and with our document verification services. 

This document defines our policies regarding personal information.  It describes what personal information we collect, how we use it, and what choices you have regarding that information.  We also explain how we comply with specific laws and regulations regarding the collection of personal information.

 

What personal information is collected?

Personal information is information that directly or indirectly can be linked to a specific individual.  ID Sentry uses the California CCPA categories for types of personal information that could be collected:

  • Personally identifiable information such as name, address, phone number, email address, social security number, driver’s license number, etc.
  • Biometric information, such as DNA or fingerprints. Internet or other electronic network activity information, including, but not limited to, photo, video, browsing history, search history, and information regarding a consumer’s interaction with an Internet Web site, application, or advertisement.
  • Device information, geolocation data
  • Audio, electronic, visual, thermal, olfactory, or similar information.
  • Professional or employment-related information. 
  • Education history, degrees, student loan information
  • Public records information
  • Inferences drawn from any of the above examples that can create a profile about a consumer reflecting the consumer’s preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities, and aptitudes.

We collect contact and related information from you through forms on our website when you contact us, request more information about a service, sign up for our mailing list, or register for our complimentary content, such as articles, white papers, and recorded webinars.  The forms request information such as name, address, email address, title, company, and phone number.

When a customer or member of the public accesses an ID Sentry Service or Product, the Product may collect, in addition to any personal information, usage data including IP address, device type, and session details.

Where does the personal information come from?

ID Sentry may have collected information about you from these sources:

  • From you personally 
  • From your devices, apps, and browsers
  • From financial institutions and credit reporting agencies
  • From third-party data providers
  • From business customers and partners
  • From government agencies and contractors
  • From public records

How do we use the personal data we collect?

Use of data for identity services

We use the information we collect to make judgments about the authenticity and accuracy of personal identity claims and the documents that support those claims.  Our customers submit information to us about a potential patron or client, including document scans and other forms of personal information.  We provide the customer with a judgment regarding the information submitted.  Usually, this judgment takes the form of a risk score or a fake/real assessment of a document.  

Business and other uses of personal data

When you conduct a transaction with ID Sentry, as part of a Service, on a device, we may collect personal information you give us such as your name, address and potentially email address. Your personal data may be used for the following purposes: maintenance of our products and services, customer management, product development, and security management

Law enforcement may obtain access to Personal Data, but only when an official investigation has formally been launched and specific information formally requested.  

You always have the option to review the information we have collected on you and demand that it be removed from our systems.  [See section What choices and control do you have over your information?” below].

Do we share and/or sell personal information to third parties?

Sharing of personal information

It is our policy not to share personal information with customers or partners in the course of normal business activities, but there are exceptions.  The primary exception to this policy is when we share personal information with a third-party data provider to gain added confidence for our identity judgments.   These third-party data providers are contractually obligated not to retain or share this data.

We may share personal information in the event of a corporate sale, merger, acquisition, dissolution, or similar event. If such an event takes place, we will notify you by email (if we have your email address) and/or a prominent notice on our applicable website(s) of any change in ownership, as well as any choices you may have regarding your personal information.

Sharing with third-party support services

Website data such as your name and email address may be shared with a third-party email marketing platform or a third-party webinar organizer for the management of customer emails and online events.  We use Google Analytics to understand the performance of our website.   More information may be found at the ID Sentry Web and Cookie Notice.  

Legal requirements to disclose

Sometimes, we may be required to share personal information for legal reasons; for example, if we are required to do so by a regulation, court order, subpoena, or other legal processes. We may also share information when we believe it is necessary to comply with the law or respond to a government request or when we believe disclosure is necessary or appropriate to protect ID Sentry, our customers, or others. 

Information related to ID Sentry Products and Services

We may be required to handle personal information in different ways, depending on the product, service or jurisdiction.  Please see the ID Sentry Product Privacy Noticefor more details on our product-specific privacy policies.  

Regional jurisdictions and unique legal requirements

Certain ID Sentry personal data collection activities resemble those of consumer reporting agencies, as defined under the federal Fair Credit Reporting Act (“FCRA”) and certain similar state laws and regulations. For this reason, ID Sentry is compliant with the provisions of the FCRA.  Please see ID Sentry California and FCRA Privacy Notice for details.

For Nevada residents, ID Sentry™ does not “sell” personal information as defined under Nevada law. If you are a Nevada resident, you have the right to request that ID Sentry not sell your personal information to third parties. 

Protecting children’s privacy

Our site is not directed at minors.  We do not knowingly collect or seek to collect information about children under the age of 13.

What choices and control do you have over your information?

ID Sentry adheres to the spirit of the Federal Fair Credit Reporting Act (FCRA) and the California Consumer Privacy Act (CCPA) even though these acts do not technically apply to most of our activities.  We are not a credit reporting agency, and most of our clients are not California residents, nonetheless, we do comply with these Acts specifically as they apply to our business.  Details about the rights defined in these Acts are listed below.

ID Sentry adheres to the policies of these Acts and affirms the rights defined.  Specifically, all customers, patrons, or individuals whose personal information is collected by ID Sentry have the right to Access, Delete, and Opt-Out.  Specifically:

Right to Access

  • The right to know what information is collected about you, where it came from, and what it is being used for
  • The right to know who receives your personal information
  • The right to request from any company which may have your personal information to disclose all such information, and who it was shared with

Right to Delete

  • The right to require businesses to remove any personal information they have collected about you, unless they must keep the information for legal reasons

Right to Opt-Out

  • The right to deny sharing of your personal information with third parties
  • The right to opt-out of receiving marketing communications

Request form for Access, Delete, or Opt-Out

At any time you may request to view or remove any Personal Data linked to you by following this link: ID Sentry Personal Information Request Form, or by contacting ID Sentry at one of the Contact Us options.   This request form is also accessible by clicking the Privacy link at the bottom of the ID Sentry website and then clicking Privacy Request.

If you are a California resident, then this policy is consistent with the CCPA [link], exercising your “right to know” and your “right to delete”.

We will do our best to respond promptly to your request. Within ten (10) business days of receiving your request, we will:

  • Confirm receipt of your request
  • Outline the next steps that we will perform to fulfill your request.  In rare circumstances, you may be asked to provide additional information so we can ensure that we are properly complying with the Act.  

Information provided on the form will only be used to enable ID Sentry to fulfill your request.

Changes to this privacy policy

Privacy Policy updates

We may need to update our Privacy Policy as we and our customers grow and evolve. If we make material changes, we will notify you by email (sent to the email address specified in your account) or by means of posting a notice on this website prior to the change becoming effective, as well as inform you of any choices you may have with respect to these changes.
